Volunteer Opportunities
Come share your skills with us. Every year at the Banff Book Discussion Weekend we have a number of volunteer positions that need to be filled. Below are links to descriptions of each position. If you would like more information, please email us through our contact address.
TREASURER
- Prepares and maintains a financial journal to be submitted for the preparation of the Auditor's report - Contact person for Bank of Montreal and the BBDS. - Pays invoices, makes deposits - Presents financial report at Annual General Meeting - Pays Banff Centre and Guest speaker - Attends executive meetingsMEMBER AT LARGE
- Attends all BBDS meetings - Upon resignation of a board member, the Member at Large takes on this position - Assists in Book Selection voting - Performs other duties assigned by the Chair or executiveJUNIOR CHAIR
- Fills in for Chair in their absence - Assists the Chairperson or the board in any duties they need help with - Oversees the following year's Book Selection processCHAIR
- Organizes all the information gathered at the BBD weekend - Prepares specific info packages you want each board member, relative to their particular job - Prepare agenda for each meeting and emails the committee prior to meetings; also asking for input - Attends and chairs meetings of the board (about 4 during the year) - Ensure that jobs are being done throughout the year in a timely fashion; eg printing of new brochures and posters, registration mailing, booking of facilities, finding and booking of guest speaker, narrowing of book choices for the following year etc. - Sends out informative emails to the participants as the weekend looms on the horizon - Chairs all meetings at the BBDW, including the annual general meetingBOOKSTORE CONTACT
- Write thank you notes to stores that sponsored the weekend - Later in the year contact the same sponsors (and possibly new ones as well) to solicit books for prizes for next year's eventSECRETARY
- Attends board meetings and takes minutes to be distributed to members - Answers correspondance as necessary - Submits the Society's Annual Return to Alberta RegistriesFACILITATOR COORDINATOR
- Works with the registrar to compile a list of volunteer facilitators for the weekend - Notifies volunteers before the weekend to verify their involvement; provides them with questions pertinent to the book discussion they are leading - Scrambles the names into groups with various leaders for the different books, tapes them outside doors of each meeting room prior to each discussion - Writes thank you's to include in folders that weekend for the facilitatorsREGISTRAR
- Processes all mailed registrations as they come in; notifies board as to numbers and passes on volunteer list to facilitator coordinator - Passes on payments to the treasurer - Oversees preparation of participant folders for weekend (can delegate and/or recruit help) - Oversees registration table at the weekend (can delegate and/or recruit help)BANFF CENTRE LIASON
- Ensures that adequate hotel space and meeting rooms are booked for the following years event - Works with the Banff Centre to choose and contact a guest speaker; is the contact person for the guest speaker upon their arrival on the weekend - Makes sure that participant folders include meal cards, up-to-date maps and facilities info - Introduces and thanks the Guest Speaker on the weekendSOCIAL COORDINATOR
- Plans and implements fun events at the socials on the Friday and Saturday nights of the Banff Book Discussion weekend (the bookstore contact provides the books from the BBDW sponsors for prizes)WEBMASTER
- Runs the Banff Book Discussion Society website; keeps info up to dateHISTORIAN/ARCHIVIST
- Takes photos to add to the pictorial history of each weekend - Provides webmaster with info from the weekend to include on the website to keep the written history of the society up to date -MAIL-OUT COORDINATOR
- Ensures the registration forms and advertising posters are printed - Directs the mail-out/distribution of registration forms and advertising posters in January
